How to Find a Steel Shelving Factory in China for Bulk Orders

By KAYOU  |  Sourcing guide for importers, distributors and project buyers

To find a steel shelving factory in China for a bulk order, shortlist suppliers that already make the type of shelving you need. Give each one the same specification and ask for a production plan tied to your quantity and required date. The most useful figure is how many complete, inspected and packed sets the factory can allocate to your order each working day.

Ask this first. “For our exact shelving model, finish and packaging, how many complete sets can you have packed and ready for inspection by our target date?”

1. Build a shortlist around the exact shelving model

Start with manufacturer websites, B2B marketplaces and trade show exhibitor directories. Use searches that describe how the shelving will be used, such as longspan steel shelving manufacturer China, boltless steel shelving factory or OEM metal shelving supplier for bulk orders. If you buy shelving for cartons and bins, ask for examples of comparable hand-loaded units with the shelf span, steel decking and bracing you need.

Ask for the supplier’s registered Chinese company name, Unified Social Credit Code, contracting entity and production address. China’s National Enterprise Credit Information Publicity System accepts searches by company name or Unified Social Credit Code. If different companies handle manufacturing and export, ask the supplier to identify who produces the goods, signs the purchase contract and resolves quality claims.

For a more detailed review of company records and manufacturing controls, see KAYOU’s steel shelving factory audit guide.

2. Verify capacity for your order

Send the same dimensions, shelf count, required load per level, quantity by model, finish, packing instructions and ready date to every shortlisted supplier. Specify whether the quantity is in complete shelving sets or in bays and whether starter and add-on bays share uprights. Ask for available output at each production stage after the factory accounts for its existing orders.

Evidence to request before awarding a bulk order
What to checkWhat to ask the supplier for
Comparable outputA recent, anonymized production or packing record for a similar model, showing the quantity and working days used.
Available line timeThe planned start date, allocated sets per day and the stage most likely to limit output. Confirm the timing of any outsourced work.
Material and cartonsWhich steel sections, accessories and cartons are in stock, which need to be ordered and when they will be available.
Order milestonesDates for drawing or sample approval, production, final packing and inspection. Confirm which approval or payment triggers the quoted lead time.

Illustrative example — 700 four-level units, 2,000 × 600 × 2,000 mm (L × D × H)

Suppose the factory allocates daily capacity equivalent to 100 sets in fabrication, 80 in powder coating and 60 in final inspection and packing. Once the line is running steadily, the order needs about 12 working days at the packing rate (700 ÷ 60, rounded up). To commit to a ready date, the factory still needs to allow for material arrival, the time it takes the first batch to reach packing, and any buyer inspection or rework. These rates are hypothetical.

3. Check that the factory can repeat the approved sample

Before volume production, agree on a drawing revision, parts list and approval sample. Record the steel thickness and agreed tolerances by component, the shelf panel reinforcement, the side-frame bracing and the packing specification. If the buyer requires a load-test report, check that it identifies the model, span, decking, support conditions and load distribution used in the test.

Agree on the inspection checklist before production. For a first bulk order, consider checking an early production unit and having randomly selected cartons opened before shipment. Compare those sets with the approved drawing and packing list. Check assembly fit, quantity, finish, packaging, labels and the presence of all hardware. Agree who handles rework, replacement and reinspection if the batch fails an agreed check.

4. Check packing and delivery before you commit

Specify which parts must be boxed. If the uprights and beams need reinforced corrugated cartons, write that into the packing instructions along with the carton count per set. Ask for the packed dimensions and gross weight of every carton type, plus the proposed loading plan if buying by container. Confirm the estimate after the first set is packed. A change in carton dimensions, protection or loading method can change how many complete sets fit.

Confirm the packed-and-ready date separately from the planned shipping date. If you expect repeat orders, ask what changes would require your approval and how the supplier will keep the replacement parts compatible with your first order.

Frequently asked questions

Does a factory’s monthly output tell me when it can ship my order?

Ask how much of that output is available for your specific order and which operations are already booked. A factory that can show its start date and daily packed output gives you a schedule you can check against your deadline.

Can a factory handle a bulk order with several sizes and colors?

Ask for a schedule by size and color, including any minimum quantity for each variant. Confirm whether all variants will be packed by the same date and how cartons will be labeled so your receiving team can identify each model.
