KAYOU / DISTRIBUTOR BUYING GUIDE
A Spanish distributor receives two quotations for steel shelving with the same height, width and number of levels. One costs less per unit. However, the offers may differ in shelf supports, usable dimensions, packaging, accessories or delivery scope.
Before placing a first bulk order, establish exactly what you will receive, how you will sell it and what it will cost to reach your warehouse.
This guide focuses on fixed, hand-loaded steel shelving for cartons, bins, tools and commercial stockrooms. Pallet racking and mezzanine projects need a separate specification and technical review.

Quick answer: Start with a focused product range, compare quotations against one specification, approve a representative sample, verify load information, agree export packaging and confirm import arrangements before authorizing production.

1. Choose Your Customer Before Choosing the Shelving
Your first order should reflect the customers you can serve.
Spain’s CNMC reported 15.1% year-on-year growth in e-commerce turnover in the first quarter of 2026, in its October 2 release. That figure includes services such as travel, so it does not measure shelving demand. It provides background for investigating physical-goods sellers and their storage requirements, rather than a forecast of rack sales. CNMC e-commerce release, October 2, 2026
For distributors, useful customer groups include:
BUYER CHECKLIST · Scroll table on smaller screens
| Customer group | Buying concern | Specification to investigate |
|---|---|---|
| Online retailers | Carton storage and manual picking | Usable openings, shelf depth and adjustable levels |
| Shops and commercial stockrooms | Accessible stock in limited space | Bay dimensions, finish and assembly method |
| Workshops and parts dealers | Storage of varied parts and tools | Load distribution, shelf construction and dividers |
| Warehouse contractors | Consistent supply across installations | Drawings, component lists and repeat-order compatibility |
Ask prospective customers for actual carton sizes, maximum item weights and intended layouts. Their answers are more useful than a general request for “heavy-duty shelving.”
Explore the KAYOU storage shelving range when developing your shortlist.
2. Build a Focused First-Order Range
Ordering many sizes, colors and shelf configurations can make a first shipment difficult to manage.
An initial range might include a compact stockroom model and a wider carton-picking model, using a shared finish and clearly documented components. This is an illustrative purchasing approach, not a recommendation for specific quantities.
Before deciding the mix, ask:
Which sizes match confirmed customer enquiries?
Which models can share compatible replacement parts?
Will products be sold as individual units or complete installed rows?
Is each model subject to its own minimum order quantity?
Do custom colors, labels or cartons have separate minimums?
Distinguish the total order minimum from the minimum for each model or customization. Mixed specifications should be evaluated for production and packing feasibility before the order is confirmed. Read our wholesale shelving guide to MOQ and order planning.
Avoid selecting a model simply because it fills unused container space. Stock that does not match your customers’ requirements ties up cash and warehouse capacity.
3. Request One Specification for Every Comparable Quote
A photograph and overall dimensions are not enough to define a shelving order.
Use the same specification sheet when requesting quotations:
BUYER CHECKLIST · Scroll table on smaller screens
| Item | What to confirm |
|---|---|
| Dimensions | Overall height, width and depth, plus usable shelf openings |
| Configuration | Shelf levels, standalone units or connected rows |
| Loading | Per-level rating, total bay limit and applicable loading conditions |
| Components | Uprights, beams, panels, supports, braces and connections |
| Materials | Steel grade, component thicknesses and agreed tolerances |
| Finish | Surface preparation, coating system, color and intended environment |
| Accessories | Feet, safety devices, fixings, labels and spare parts |
| Packaging | Cartons per unit, dimensions, weights and protection |
| Commercial terms | Quantity, currency, validity, payment, delivery term and named place |
A quote for “five levels” should identify which components create those levels. Likewise, one standalone bay and one add-on bay may contain different frame quantities. Read how starter bays and add-on bays differ.
For more detail, see Steel Shelving Cost Breakdown: What Changes Your Factory Quote?.
4. Verify Load Ratings and Product Evidence
Treat a load rating as a claim about a defined configuration. Read our guide to UDL, load testing and configuration evidence.
For example, a stated uniformly distributed load per level does not establish suitability for a heavy machine resting on small feet. The complete bay also has limits, and changing shelf spacing or components may require review.
Request evidence identifying the dimensions, members, shelf supports, connections and loading arrangement covered by the rating. Confirm installation requirements and any fixing assumptions.
Material certificates, thickness measurements and load reports answer different questions. A material record does not establish the capacity of an assembled shelving bay.
When checking thickness, agree whether the specification refers to base steel or the finished coated component. Measure the relevant parts separately. See How to Verify Steel Thickness When Buying Metal Shelving.
CE marking also requires a product-specific assessment. EU guidance states that it applies only where relevant harmonized legislation requires it; it must not be applied to products outside that scope. Ask which requirements apply to the actual product, rather than treating a general certificate as proof for every shelving model. EU guidance on CE marking
5. Approve a Sample That Represents Production
Use the sample to check assembly, dimensions, panel fit, connections, finish and packaging.
Record the accepted specification alongside photographs and a drawing revision. Where feasible, assemble the sample using the instructions intended for your customers.
The approval record should identify:
Model and drawing revision.
Component specifications and permitted tolerances.
Color and acceptable finish criteria.
Hardware quantities and assembly instructions.
Packaging construction, labels and included documents.
Any agreed differences between the sample and production goods.
Document how production will be checked against that reference. Depending on the order, this may include measurements, trial assembly, component counts and an agreed inspection plan.
If testing is required, agree its scope and acceptance criteria separately. Appearance checks and an assembly video do not establish load capacity.
Any later substitution should be reviewed and approved before production continues.
6. Match Packaging to Your Sales Channel

The packaging needed for a contractor’s installation can differ from packaging for individual retail sales.
For individual sales, confirm whether each saleable unit contains a complete, identifiable component set. For project supply, grouped components may be practical if sorting, handling and installation responsibilities are clear.
Agree Spanish-language instructions and customer-facing labels appropriate to your sales channel and applicable requirements.
Request protection details for panel surfaces, edges, corners and hardware. Also confirm net weight, gross weight and the dimensions of every carton type.
Carton volume in cubic metres = length × width × height, with dimensions in metres.
That calculation is a starting point. A loading plan must also consider carton shape, stackability, handling, container payload and safe load distribution. A simple container-volume division is not a confirmed loading quantity.
For a first order, request packing photographs or a sample packing review before approving the final configuration.
7. Confirm Import Arrangements and Delivered Cost
Before paying a deposit, identify who will act as importer and who will handle customs clearance.
Spain’s Agencia Tributaria explains EORI registration for customs activities. Check the importing entity’s EORI status; it should not be confused with VIES registration. Agencia Tributaria EORI guidance
Provide your customs representative with product descriptions, drawings, materials, origin and shipment details. Ask them to confirm:
The appropriate CN/TARIC classification.
Current duties and any applicable trade-defence measures.
Import VAT treatment and required documentation.
Any product-specific restrictions or obligations.
Whether CBAM applies to the classified goods.
The EU’s TARIC database brings together tariff and relevant trade measures. CBAM entered its definitive regime on January 1, 2026 and covers selected goods, including specified iron and steel products. Its applicability must be checked against the actual classification and current rules; the presence of steel alone does not resolve the question. EU TARIC database Read the European Commission’s CBAM guidance.
Build your budget from the agreed product price, origin charges, freight, insurance, destination handling, clearance, applicable duties, inland delivery and other agreed services. Ask your tax adviser to distinguish tax cash-flow requirements from the costs used to assess margin.
When comparing local supply with imports, include assembly, inventory financing, delivery time and after-sales costs on both sides. Read our freight and import-cost planning guide.
8. Agree Shipment Release and After-Sales Support
Define the shipment-release process in the purchase order.
Typical checkpoints include approved drawings, completed production checks, packing-list reconciliation and resolution of inspection findings.
Identify the documents needed for the particular transaction, such as the commercial invoice, packing list, transport document and agreed technical records.
Also confirm how missing or damaged components will be reported and resolved. Record the evidence required, notification period, replacement process and responsibility for associated freight.
Agree a practical spare-parts list based on the product design. Keep model codes and drawing revisions so future replacements and repeat orders can be matched correctly.
Production lead time, vessel departure, port arrival and delivery to your warehouse are separate milestones. Request a schedule that shows each stage and the assumptions behind it.
Frequently Asked Questions
Can I combine different shelving models in my first order?
Ask the supplier to evaluate the proposed mix. Minimum quantities may apply separately to each model, finish or packaging option. Confirm the resulting production schedule and loading plan before ordering.
Is a full container always the best first purchase?
No. Compare shipment economics with demand, working capital and storage capacity. A smaller validated order can be more useful than a larger quantity of unsuitable stock. Request current transport quotations for the actual packed goods.
Can KAYOU quote from a product photograph?
A photograph can begin the discussion. For a useful quotation, also provide dimensions, shelf levels, loading requirements, quantity, intended use, packaging needs and destination.
